If you work with contractors, you know how important it is to file and send out 1099 forms accurately and on time. QuickBooks Online simplifies this process, but if you’re unsure how to print 1099s, you’re not alone. In this guide, we’ll walk you through the steps to print your 1099s smoothly and stay IRS-compliant.

What You Need Before You Begin

Before you start printing 1099s in QuickBooks Online, make sure you have everything in order:

  1. Vendor Setup: Confirm that your vendors are correctly marked as 1099-eligible in QuickBooks and that their tax identification numbers (TINs) are on file.

  2. Business Details: Double-check that your business’s EIN, address, and contact information are accurate in QuickBooks.

  3. Forms: Use compatible pre-printed 1099 forms if required. QuickBooks aligns perfectly with most IRS-approved 1099 forms.

Pro Tip: Keep your vendor information updated throughout the year to avoid last-minute errors.

Step-by-Step: How to Print 1099s in QuickBooks Online

Follow these steps to print your 1099s with ease:

  1. Navigate to Vendors: In QuickBooks Online, go to the Expenses tab and select Vendors.

  2. Access the 1099 Section: Click on Prepare 1099s, which you’ll find under the Payroll or Taxes section.

  3. Choose the Tax Year: Select the year for which you’re preparing the 1099 forms.

  4. Review Vendor Data: QuickBooks will prompt you to confirm the information for each eligible vendor. Ensure all details are accurate.

  5. Print Your 1099s: Select the option to print and follow the on-screen prompts. If you’re using pre-printed forms, align your printer to match the form layout.

Troubleshooting Common Issues

Sometimes, things don’t go as planned. Here’s how to handle common problems:

  • Missing Vendors: If a vendor isn’t showing up, check that they are marked as 1099-eligible in their profile.

  • Incorrect Alignment: Adjust your printer settings to ensure the text aligns with the pre-printed forms. QuickBooks provides a sample alignment feature to help.

  • Incomplete Forms: Double-check vendor data before printing to avoid blank fields.

Pro Tip: Run a test print on plain paper before using your 1099 forms.

If you wish to go paperless, you'll need to receive express written consent from your recipients. Refer to the IRS website for guidelines around going paperless.
